Department Assistant (Part Time Position)
The New York School of Interior Design, an accredited, independent institution of higher education devoted entirely to the discipline of interior design and its related professions, has an opening for a part-time Department Assistant. The Department Assistant provides administrative support to the Office of Academic Affairs.
Job Duties & Responsibilities:
Provides administrative support to the daily operations of the Office of Academic Affairs at the Graduate Center, which includes, but is not limited to, preparing documents, answering telephone and email inquiries on a daily basis, greeting and directing visitors appropriately, and answering general questions about NYSID and its programs
Assists the Associate Dean in routine matters and inquiries, schedules appointments/meetings, and assists with special projects
Assists the Associate Dean and the OAA Administrator with distributing/collecting new hire employment paperwork, inputting faculty information into database system (Jenzabar), and any other tasks assigned by the OAA Administrator
Works with the Associate Dean on faculty/class/room scheduling at the Graduate Center
Provides administrative support to the Director of Institute for Continuing and Professional Studies (ICPS) in routine matters, such as answering email inquiries, faculty/room/class scheduling and any ICPS projects
Works with staff to coordinate events, participates in commencement preparation, assists faculty at graduation
Handles requests for room changes for the faculty in EMS for presentations, juries, etc.
Handles Visitor requests and notifications to Facilities
Attends Academic Affairs meetings as needed
Coordinates equipment maintenance, classroom set-up and cleanup, and assists in the distribution of student lockers
Maintains an inventory of supplies, equipment and material
Implements policies, procedures and practices as directed
Participates in strategic planning for the Office of Academic Affairs, as needed
All other duties as assigned
Associate or Bachelor’s degree preferred. Two or more related years of experience required. Excellent organizational skills, detail oriented and ability to multi-task and manage priorities. Competent with Microsoft Office applications, particularly Excel. Must possess excellent writing, communication and customer service skills. Experience working with Jenzabar a plus.
This is a part time position. 16-19 hours per week work schedule.
